Q: How do I register?

A: This is a multi step process in order to ensure that lodging is reserved for registrants.

First, head to the ticketing site at Bear Camp 2025. (Note: this site will open back up on April 5.) Your registration will be a pre-authorization, not a charge to your card. Your name will be transmitted to Rainbow Ranch so you can book your accommodations.

Call Rainbow Ranch at (254) 729-8484. Let them know the following things:

• Your name
• That you are with the Houston Bears and you have a ticket for the Houston Bears Bear Camp event for May 16 – 18.
• You have indicated the lodging preference on the ticketing site and that lodging is {insert what you chose here}.

Rainbow Ranch will take your payment information in order to secure payment from you. This charge is from Rainbow Ranch, not from the Houston Bears.

Once they’ve collected payment information from you and confirmed that you have the lodging, they will let us know you’ve booked. We will then charge your card for your registration. This charge is from the Houston Bears.

If your lodging with Rainbow Ranch is not secured within 48 hours after ticket booking, your hold and lodging preference will be released and you will have to re-register. If you have booked with Grizzly Pines and the charge to your card does not go through, we will attempt to contact you to correct the situation. If we cannot resolve it, your booking with Rainbow Ranch will be released.

Finally, you will receive a release of liability form via email to the email address you registered with. Each member of your party must read and sign this form. You may either scan and email the completed form to [email protected] or you may bring it with you. We will have additional forms at the campsite if you forget or lose your copy.

Q: When does booking open?

A: February 24 for Houston Bears members, then March 13 for general early registration. Want to be one of the first to register? Join the Houston Bears at https://houstonbears.org

Q: I want to help out, what can I do?

A: When you book your ticket, there will be a checkbox asking if you want to volunteer. Please check that checkbox. If you forget or later decide you’d like to help out, just shoot us a message using the Contact form below. We appreciate any help you can provide!

Q: What should I bring?

A: Rainbow Ranch is located in nature, so you may want to consider bringing insect repellent and appropriate clothing/footwear if you plan on exploring the woods. Towels and sunscreen are recommended for poolside lounging, plus whatever makes you feel comfortable.

Q: What about food?

A: Rainbow Ranch is allowing us to use the onsite kitchen. We get to cook up some great food for you. If you’re handy in the kitchen, we would LOVE your help, whether you’re a novice, Gordon Ramsay, or somewhere in between, let us know you’d like to help! We’re planning on serving the following meals as part of the run:

Q: I see that I get a free tank top with my ticket, is there any way I can order extras?

A: No, sorry, we’re only ordering in limited amounts to keep this a Bear Camp 2025 exclusive!

Q: What’s your refund policy?

A: We know things come up. We do have a timeline where we procure items for Bear Camp, so it is possible we’ve expended money for your planned attendance. If you have to cancel, we’d ask first that you try to find someone to transfer your ticket to. If you absolutely have to cancel, here is our refund policy.

Through April 11: 100% refund less $5 processing fee.

From April 12 – May 4: 50% refund.

May 4 and on, no refund will be possible.

Please note that this refund policy is for the Houston Bears ticketing and applies only AFTER Rainbow Ranch has confirmed your lodging and the Houston Bears has charged your card. Prior to these, no charge has happened from the Houston Bears, so we will just release the hold. There is no refund penalty or charge in that case.

Q: I’m a Houston Bears member and I don’t know how to get my discount.

A: Head over to the brand spankin’ new Houston Bears Website. Navigate to the Membership header and Login. If you haven’t logged in to the new website, you will have to reset your password. Just hit the Lost your Password? link and request a password reset.

Once you’ve logged in, check out your profile page on the website. All the way at the bottom is a Promo Code field. This will be your Coupon Code for the ticketing site. It is unique to you and is good for one use, so don’t share it.

Q: I’m a Houston Bears member and I’m going to Bear Camp. I have a guest I want to bring along who isn’t a member of the Houston Bears. How can I get them registered?

A: First … why aren’t they a member? 🙂 And second, send a message using the Contact form below and we’ll provide you a discount code to use
